Kelab Wanita Ikon Malaysia (“KWIM”, “we”, “us”) respects your privacy and is committed to protecting your personal data in accordance with Malaysia’s Personal Data Protection Act 2010 (PDPA). This policy explains what information we collect, why, and how it is used, particularly in relation to our public voting platform for the Anugerah Wanita Ikon Malaysia (AWIM) awards.
1. Information We Collect
When you vote using “Sign in with Google” or “Sign in with Facebook”, we receive the following information directly from that provider, with your consent, at the moment you sign in:
- Your name
- Your email address
- A unique account identifier from the provider (used internally, in encrypted/hashed form, to prevent duplicate voting)
We also automatically record, for each vote submitted:
- IP address
- Browser/device information (user agent)
- Date and time of the vote
We do not request or store your password, and we do not access your Google or Facebook contacts, posts, photos, or any other data beyond what is listed above.
2. Why We Collect This Information
- To verify that each voter is a real, unique individual, and to enforce our “one vote per person per award category” rule
- To detect and investigate suspicious or fraudulent voting activity (e.g. automated or duplicate votes)
- To communicate with you regarding your vote or the AWIM awards, where necessary
3. How Long We Keep This Information
Voting records, including the information above, are retained for the duration of the relevant award cycle and for a reasonable period afterward for record-keeping, dispute resolution, and audit purposes. KWIM will not retain this data indefinitely beyond what is necessary for these purposes.
4. Who Can Access This Information
Your information is accessible only to authorized KWIM administrators for the purposes described above. We do not sell, rent, or share your personal data with third parties for marketing purposes. Aggregate, anonymized vote counts may be published publicly (e.g. total votes per candidate); your individual identity is never publicly disclosed.
5. Your Rights Under PDPA
You have the right to:
- Request access to the personal data we hold about you
- Request correction of inaccurate data
- Withdraw your consent for us to process your data (note: this may affect our ability to verify your vote)

6. Third-Party Sign-In Providers
When you sign in using Google or Facebook, your interaction with those platforms is also governed by their own respective privacy policies. We encourage you to review the Google Privacy Policy and the Meta/Facebook Privacy Policy.
7. Cookies and Sessions
Our voting platform uses essential cookies/session data required for the site to function correctly (e.g. to keep you signed in during your voting session). These are not used for advertising or cross-site tracking.

We may update this policy from time to time. The “Last updated” date at the top will reflect the most recent revision.
